Decide first
Hosting and shipping method determine the configuration.
Odoo Online and Odoo.sh work with an Odoo subdomain fundamentally without additional configuration. Anyone using their own sender domain, Gmail, or Microsoft 365 must plan shipping, authentication, and the return path of incoming messages together.
Odoo mail server
The own domain is used as an alias domain. SPF and DKIM are set up for sending via Odoo.
Connect Odoo with Gmail
A Google account can be connected via OAuth with an outgoing and - if needed - an incoming mail server in Odoo.
Connect Odoo with Outlook / Office 365
For Microsoft 365, an app is registered in Microsoft Entra and then connected to Odoo via OAuth.
Basic configuration
Four steps to your own email domain in Odoo.
Set alias domain
Enter domain in Odoo and check catchall, bounce, and default from alias. In multi-company, the appropriate alias domain is assigned to the company.
Align sender logic
With the Odoo standard server, mail.default.from_filter controls the accepted sender domains. With a private mail server, its FROM filter is crucial.
Authenticate DNS
SPF authorizes the sending server, DKIM signs messages, and DMARC defines how to handle failed checks. An existing SPF record is supplemented, not duplicated.
Trace back responses
For responses to arrive in the chatter or to generate leads and tickets, depending on hosting, redirects, incoming mail servers, or DNS routing are needed.
Gmail and Microsoft 365
OAuth replaces the mail password – not the process configuration.
With Gmail and Microsoft 365, OAuth securely authorizes access through the respective provider. Senders, aliases, server order, and response paths still need to be set up and tested appropriately in Odoo.
Connect Gmail with Odoo
- Set up project and OAuth consent screen in the Google API Console
- Store client ID and client secret in Odoo
- Select Google Gmail authentication on the mail server and connect the account
- Test FROM filter, sending, and if necessary, receiving
Connect Outlook / Office 365 with Odoo
- Register app in Microsoft Entra and set redirect URL
- Configure required SMTP and IMAP permissions
- Store client ID and client secret in Odoo
- Select Microsoft Outlook authentication, connect the account, and test

DNS compact
SPF, DKIM, and DMARC serve different purposes.
The example values apply to Odoo's standard mail server. For Gmail, Microsoft 365, or an external SMTP provider, use the provider's specifications.
Basis: current Odoo documentation, version 19.
v=spf1 include:_spf.odoo.com ~allAn existing SPF record is supplemented.
odoo._domainkey → odoo._domainkey.odoo.com.Authenticates the messages signed by Odoo.
_dmarc → v=DMARC1; p=none; rua=mailto:…The policy is gradually established based on the reports.
The common misconception
Sending and receiving are two separate paths.
Outgoing
Sender domain, FROM filter, and mail server determine the sending path. SPF, DKIM, and DMARC strengthen authentication and deliverability.
Incoming
Replies and messages to professional aliases must return to the correct Odoo database. Forwarding is often the easiest way with Odoo Online and Odoo.sh.
info@beispiel.de, catchall@beispiel.de and bounce@beispiel.de are routed so that Odoo can assign them to the correct alias or record.Mass mailing
Deliberately separate transactional emails and campaigns.
Quotes, invoices, and chatter messages have different requirements than newsletters. Odoo can use separate servers: The server with the lower priority number handles transactional emails, while a dedicated server is chosen for email marketing.
- Check FROM filters per server and sender domain
- Plan transactional and marketing volume separately
- Monitor provider limits and reputation
- Test shipping, response path, and bounce processing together
Fixed daily limits do not belong in a permanent guide: They depend on database type and apps and can change.
Frequently Asked Questions
Odoo Email, Gmail, and Outlook.
Do I always need an external SMTP server?
No. With Odoo Online and Odoo.sh, your own domain can also be used with the Odoo mail server. Then, SPF and DKIM must be correctly set in the DNS.
Can I connect Odoo with Gmail?
Yes. Odoo supports the OAuth connection of a Gmail account. This requires a Google project, OAuth credentials, and a properly configured mail server.
Can I connect Odoo with Outlook or Office 365?
Yes. The connection is established via Microsoft Entra and OAuth. Permissions and server type depend on whether Odoo should send, receive, or both.
Are SPF and DKIM sufficient for replies?
No. They authenticate outgoing messages. For replies and aliases, a functioning return path to the database is additionally required.
Can I use multiple domains?
In principle, multiple alias domains can be managed and assigned to companies. The sender and server logic must be checked per domain – especially in a multi-company setup.
