Payment reconciliation of Amazon transactions

Amazon does not pay out sales individually. In the Settlement Report V2, revenues, fees, refunds, returns, and other corrections are consolidated into a single payout. This raises a central question for accounting: How can the paid amount be fully and transparently reconciled in Odoo?

With the Amazon Report App from 4EGrowth, the items of the settlement report can be structured and processed in Odoo and assigned based on defined rules. Recurring booking processes can be automated; deviations and ambiguously assignable items remain visible for review.

Less manual work

Recurring transaction types can be processed according to established rules, instead of booking each item individually.

Traceable reconciliation

Payouts, revenues, Amazon fees, refunds, and corrections are considered together and prepared for reconciliation.

Exceptions remain visible

Ambiguously assignable items are not hidden but can be specifically controlled and supplemented.

What is the Amazon Settlement Report V2?

The Amazon Settlement Report – in German, Abrechnungsbericht or Auszahlungsbericht – documents the financial movements of a settlement period. This includes, in particular, sales, sales commissions, shipping and service fees, refunds, returns, withholdings, corrections, and the final payout.

The report is therefore more than a bank statement: it explains how the net amount transferred by Amazon is composed. For a clean payment reconciliation, the individual items must be linked to the corresponding transactions and accounts in Odoo.

This is how automatic payment reconciliation works in Odoo

1 Take over report

The settlement report is read for the respective Amazon billing period and divided into individual transaction types.

2 Classify items

Sales, fees, refunds, and other movements are recognized based on their report types and prepared for processing.

3 Apply Odoo rules

Defined accounts, journals, and allocation rules determine how recurring items are handled in Odoo.

4 Reconcile payout

The sum of the processed items is reconciled with the Amazon payout. Differences remain visible for targeted control.

Which items can be assigned?

The specific booking logic depends on your Odoo configuration, your chart of accounts, and the Amazon processes used. Typical categories are:

Amazon itemPossible treatment in Odoo
SalesReconciliation with invoices, payment, or clearing transactions
Sales and service feesAssignment to the designated expense accounts
Refunds and returnsReconciliation with credits, revenue corrections, or other defined transactions
Other correctionsRule-based assignment or handover for manual review
PayoutReconciliation of the net amount with the bank or clearing account

Correctly handle Amazon returns and refunds in Odoo

Returns are particularly relevant for payment reconciliation because the settlement report can contain different financial impacts: a refund to the customer, recalculated fees, additional charges, or delayed corrections. These items should not be booked collectively to a single expense account.

The most sensible treatment depends on how invoices and credits are generated in your Odoo system. The Amazon Report App supports structured assignment; the professional rules are configured to match your accounting processes.

Automation with controllable exceptions

A robust process does not automate at any cost. New or unusual transaction types, missing references, and discrepancies should remain identifiable. This way, accounting can specifically review the few special cases while recurring standard items are processed based on rules.

Important: The accounts and journals used depend on the respective chart of accounts, tax treatment, and your Odoo configuration. The setup should therefore be coordinated with the responsible accounting department.

More transparency for accounting and controlling

A differentiated accounting of Amazon costs not only improves payment reconciliation. When fees and other costs are associated with appropriate product, order, or analysis information, they can also be included in evaluations and contribution margin calculations. A correspondingly set up analytical accounting in Odoo is a prerequisite for this.

Frequently asked questions about the Amazon billing report in Odoo

Does the Settlement Report replace the Amazon invoices?

No. The report explains the composition of a payout. Invoices, credits, and other documents remain independent accounting documents and are considered in the reconciliation.

Can every item be booked automatically?

Recurring and clearly identifiable items can be processed based on rules. Unknown or incomplete data should remain for verification.

Does the process also work with multiple Amazon marketplaces?

Multiple marketplaces and billing periods can be taken into account. The specific setup depends, among other things, on companies, currencies, taxes, and chart of accounts.

"The reconciliation of the report is more accurate and significantly less time-consuming than the reconciliation in our previous accounting."
